Overseer Admin provides a rich suite of filters, constraints and other data mining tools such as groups for selecting highly specific subsets of children, adults, families or organizations for the purpose of generating mailing labels, printing reports or simply browsing and editing data.
The term filter is used within Overseer as a criterion for selecting a subset of an entity (e.g. “Families of students” is a subset of “All Families”). Many filters are available to select subsets of children, adults, families, students, teachers, classes, organizations. For example, the following filters are provided for selecting a subset of children. Note that many of these involve a secondary selection (e.g. “Students in grade: 7”).
The term constraint is used within Overseer to
indicate a mandatory condition to be satisfied, in addition to any filter
which may be active, as a criterion for selecting a subset of an entity (e.g. “Females
Only” is an additional constraint on the filter “Students in
grade: 7” which could be applied to a list of children). Although only one filter can be used
at a time, it is possible to have more than one constraint in use
simultaneously. When multiple constraints
are specified, all of them must be satisfied simultaneously by all selected
members.
A group within Overseer is a named collection
of adults, children, families and/or
organizations. It may represent any convenient group
within the local school or school community (e.g. “School Band” or “Volunteers
for lunch-room duty”).
When used with filters and constraints, one or more groups may be combined in complex ways to enable rapid selection of persons, families or organizations based on criteria for inclusion or exclusion to meet fairly advanced selection criteria, ending up with a list of names which could be printed as a titled report for some custom purpose.
Members may also be added to a group manually, so that precise selections of persons, families or organizations may be made, and assigned to a group, then referenced by the appropriate filter (e.g. “Adults in group: Volunteers for lunch-room duty”) prior to viewing, editing or printing.
